Running the school portal: students, fees, staff, transport, hostel, stores and settings.
Almost always the internet (or the database service) dropped for a moment. Check the connection and reload the page. If it keeps happening, sign out and sign in again.
Click your name at the top right → Settings → Security, enter the current and the new password (8+ characters). Staff and students change theirs in their own app.
The year selector at the top of the portal decides the year for students, fees and attendance. Most pages follow it; switch it to look at an older year.
The bell shows notifications: “Needs attention” items (things waiting on the office) and logged events. See Notifications below.
Things waiting on the office right now, checked every 5 minutes: staff leave requests to approve, cheques waiting to clear or bounced, stock at its reorder level, purchase orders not yet received, overdue library books and unpaid library fines. Each card opens the page where you fix it.
An alert comes back as unread when what it counts changes — for example a new leave request arrives. That is on purpose.
Read / unread is remembered in each browser separately.
A plain-language list of what people did in school: fees collected and by whom, homework given, marks and attendance entered, student or staff details that were changed (with the old and new value), library, hostel, transport and more. Entries are grouped by day, and each day's heading adds up the entries and the money collected that day. The small chart above the list shows how busy each hour (Today, Yesterday) or day (7 or 30 days) was. Only school administrators can open this page.
The filters are in the left menu: click Logs and the menu turns into the Filters panel, like the logs in Vercel (use the arrow at the top to go back to the main menu). Choose from Timeline, Type, Who did it, Action, Class, Student, Role, Payment mode, Amount and Source. Every section has its own search box, so you can type to find a person, class or action. Each choice shows how many entries it has, and the counts update as you add filters. Your choices appear as chips above the list and in the page address, so you can copy the link to share the same view. On a phone, tap Filters at the top of the page to open the same panel.
Open the Student filter in the left menu and type the name or admission number. You get their fees paid and who collected each payment, details that were changed, marks entered, gate passes and more, newest first.
Logs are kept for ever and shown one academic year (April to March) at a time. Pick the year in the Filters under Logs; it follows the year in the top bar unless you choose another here. Inside a year you can show this month, any month, the whole year or your own dates. Logs are never deleted.
Yes. Export downloads every entry in the chosen year and filters, not just the page on screen, as Excel or PDF with the columns you choose.
Press the History button (clock icon) on a store bill, vendor, gate pass or a student's marks: a side panel lists every change with who made it, when, and what it was before. Open in Logs takes you to the full Logs for that record.
Logs → Alert rules lets you choose what rings the bell — many marks changed, big discounts, cancelled receipts, bulk deletes, night-time changes, failed sign-ins, records edited by many people, attendance not marked, requests left waiting — and set the numbers.
Open Daily summary from the Logs page or the bell. It shows one day in plain words — money collected and by whom, marks and attendance changes, homework, edits and anything flagged — and can be printed or exported.
Open Who did it in the left menu, search for the person and tick their name. The list then shows only what they did, and each day's heading shows the fees they collected that day.
Academic → Students → Add Student, or Import to add many from Excel. Give every student a class and section for the current academic year.
Lists show students enrolled in the selected academic year with a class. Open the student's profile and set their class and section for this year; check the year selector at the top too.
Settings → Academic years, after you add the new year, then use “Promote students”. It moves students into the new year class by class; the old year's records are not changed.
Academic → Attendance, pick the date and the class, mark each student and save. Teachers can also mark it from the teacher app.
No — only today and earlier days can be saved.
The absent log tab on the Attendance page lists absentees by date and class.
Academic → Report Cards: choose the class and exam, preview a student's card, then print one or the whole class. Marks must be entered first (Academic → Marks).
Settings → Document templates. Changes there apply to the cards you print here.
Academic → Marks → the marks entry tab: choose the exam, class and subject, type the marks and save. Teachers can enter marks from the teacher app.
Imported marks show on the Marks overview tab.
Academic → Timetable → the exam timetable tab.
Academic → Classes. A class appears in lists once students are enrolled in it for the year.
Academic → Subjects: add the subject and the classes that take it.
Academic → Timetable → add / update for each class; Teacher timetables shows each teacher's week. The student app also uses the timetable to show a student their teachers.
Academic → Homework lists everything — homework, projects and assignments: what was given, to which class or students, by which teacher, and the due date. Homework teachers post from the teacher app shows up here automatically.
Academic → Homework → Assign: pick Homework, Project or Assignment, choose whole classes or specific students, enter the subject, the title and the due date. Students see it in their app straight away; save as a draft to keep it hidden.
Academic → Calendar → add an event and choose its date(s). It shows in the student and teacher apps.
Certificates issued in the old software were imported as a register only — there is no saved copy to reprint. Issue a fresh one.
Under Front Desk → Enquiries (the Admission menu's Enquiries link opens the same page).
Those two pages are being rebuilt — they can't store records yet. Record enquiries under Front Desk → Enquiries and add the student under Academic → Students once admitted.
Front Desk → Visitors → Log visitor. Pick Parent (then choose the student and the relation — father/mother details fill in), Visitor or Guest; add who they came to meet and why. Press Out when they leave.
Visits recorded in the old software were imported (shown as 'Imported from old ERP'); their in-time wasn't stored there, so it is blank.
Use the row menu → Edit or Delete. Deleting is for mistakes; otherwise keep the record.
Log visitor → Sign in & get badge gives each visitor a number for the day (V-001…) and prints a badge. Visitors → Inside now shows who is on campus with a live timer (amber after 2 hours); scan the badge or type its number at the Check-out desk, or use Check out all at the end of the day.
Pre-register on Visitors: add the visitor, date and time window. On the day they appear under Expected; tap Check in to take their photo and print the badge, or mark them No-show.
Front Desk → Gate Passes → Raise pass: pick the student and type, then who is collecting — choose from the student's authorised list, or Someone else (this shows a warning and needs a reason and phone). The parent is told in the app, and the gate marks the pass Left or Let in.
Gate Passes opens on Today with counts for early departures, late arrivals and passes still waiting at the gate. Use the class and type filters, or Export / Print slip.
Front Desk → Authorised Pickup → Dismissal check: look up the student (name, admission no. or scan the card) and compare the person at the gate with the photo cards, then press Verified — release. The parent is told in the app.
Pickup lists → open a student → add each person with a photo, relation and phone. Suggest from profiles adds father and mother as suggestions — they stay switched off until someone confirms each one. The “No authorised pickup” card shows who still has no list.
Front Desk → Enquiries → New enquiry. The enquiry number is given automatically. Enter the child, class applying for, parent contact and how they enquired.
Open the enquiry (row menu → Edit), update the status (Enquiry → Prospectus → Registered → Admitted, or Closed), write the remark and set the next follow-up date. The status tiles at the top filter the list.
Tap Log call on the row, pick what came out of the call, add a note and the next date. The enquiry then shows under Follow up today or Overdue until you call. Not interested and Admitted elsewhere close it for you.
Enquiries → Funnel shows how many get from Enquiry to Prospectus, Registered and Admitted for this month, this year or all time, and which source (walk-in, phone, referral…) converts best.
No. Mark it Admitted here and add the student under Academic → Students.
Front Desk → Feedback → Add feedback. Pick the student, choose what the concern is about and type the message.
Row menu → Reply / edit: write the school's reply, and after the follow-up call note the date, remark and whether the parent was satisfied. 'Awaiting reply' filters the open ones.
Finance → Fee Reports → Fee Defaulters lists everyone with a balance, biggest first. Call or WhatsApp the parent from the row, then open it to note what they said and the date they promised to pay. The Promise missed tab shows who didn't.
Fee Reports → Last Year Due shows each student's carried-over balance and how much has been collected.
Fee Reports → Discount Register lists every discount this year by student, with the fee it was for and the remark. Open a student to see each entry.
Fee Reports → Fee Head Summary: tuition, hostel, transport, admission and last-year due across the rows School fee, Discount, Applied fee, Paid and Balance, with a class filter, Excel export and a class-by-class table. Paid is shared across fee heads in proportion, because receipts aren't split by head.
Fee Reports → Monthly Collection → Day book. Pick the day to see cash, UPI, card and cheque totals and each collector's receipts. Cash is the amount to hand over.
Finance → Extra Fees → New charge: name it, set the amount, choose a class (or search students), then open the charge and press Collect for each student who pays. Payments can be undone.
Finance → Fees → Pay Fee. Search the student by name or admission no., enter the amount and mode (cash, cheque, online…), add the cheque / reference no. and bank when asked, and Save. The receipt number is given by the server and the receipt opens for printing.
Receipts are never deleted. Open the receipt in Pay Fee (or Transactions) and Cancel it with a reason — it stays in the list marked cancelled and no longer counts as paid. Then make the correct receipt.
Payments clear the oldest dues first. One-time / other fees sit in April; a discount comes off the last months. Anything paid beyond all dues shows as advance.
Check the amount — saving anyway records the extra as advance for that student.
Finance → Fees → Paid / Unpaid lists every student with due, paid and balance; filter by class and export to Excel. Annual shows the year's totals by class and fee head.
Use Communication → Messages: pick the class (or one student's family), choose In-app and write the reminder (SMS will be available once a provider is connected).
Settings → Fee configuration, per class for the academic year.
Finance → Receipts. Search by receipt number, student name or admission number, then press PDF to download it or View to print it.
Yes. Tick the receipts you want and press “Download selected (PDF)”, or “Download all” for everything the filters show. One PDF holds up to 500 receipts, one per page. “Export list (Excel)” gives the list as a spreadsheet.
There are two: Template 1 (modern, the default) and Template 2 (the Accevate-style receipt). Pick one in Settings → Receipt & Billing (with a preview of each), or from the “Receipt design” box on Finance → Receipts. It applies to printing, Pay Fee and the PDF downloads.
The balance at the moment of payment isn't stored, so a receipt opened here leaves that line out rather than show today's balance. Cancelled receipts are stamped CANCELLED.
A cheque taken at Pay Fee starts as Uncleared. When the bank confirms, mark it Cleared — or Bounced if it came back. Cheques imported from the old software count as cleared.
Mark it Bounced, cancel that receipt in Pay Fee with the reason “Cheque bounced”, and collect the fee again. Bounced cheques also appear in Notifications.
Finance → Expenses → Add. Open an expense to edit it; use the period filter to see a month or the year.
Finance → Financial Reports → Overview: each headline card shows the change against the same period last year. Pick a month at the top to compare just that month. Print / PDF saves the page.
Financial Reports → Budget vs Actual: type a yearly amount for each category (Mess, Maintenance, Salaries…) and Save. Each bar shows what has been spent and a marker for where spending should be by today; categories over budget are listed at the top.
Financial Reports → Collection Analysis: the running total by month, cash against digital by month, a day-by-day calendar, who collected the most, and discounts given.
Reports count only expenses marked paid. Open the expense and set it to paid.
Not yet — the Payroll page is a placeholder. Staff salary history shows in the teacher app from imported data.
Fee position (due, collected, balance), collections by class and month, and paid expenses for the period, all in India time.
Transport → Buses → Add bus; the driver's name and mobile go in the same form (Edit bus & driver later). A bus with no driver shows the driver most of its students list as a suggestion — check it, then use it.
Yes — students assigned to the old name move to the new name automatically.
A bus with students on it can't be deleted. Move its students to another bus first (Transport → Students).
Transport → Students: assign the bus / route. Transport fees then show under Finance → Fees → Transport.
Transport → Routes lists each route with its bus and driver; open one to see its stops in pick-up order and how many students board at each. Transport → Stops is the stop master: every pick-up / drop point with its bus, route, yearly fare and times, plus how many students board there this year. Students keep their own stop name on their record; the list is the reference when assigning one.
From the student app's Transport screen (Request a change / Request school transport). Requests land in Transport → Requests, pending first, with the current and requested stop, the yearly fare difference and seats left on the requested bus. Approve updates the student's bus, route and stop for this year; Reject needs a note. Fees are NOT changed — adjust them on the student's fee page or Finance → Transport Fees. A full bus blocks approval unless you tick the override. The parent gets a notification either way.
Drivers and conductors open My bus in the staff app: their bus's students grouped by stop, with Boarded / Not boarded in the morning and Dropped in the evening. Parents get a notification when their child boards or is dropped. The office sees the same marks on Transport → Student Attendance (Morning pickup / Evening drop switch); in the register the morning mark is large and the evening mark small (D = dropped).
Transport → Incidents → Log incident: pick the bus, type (delay, breakdown, accident, route change), time and details, and tick Notify parents on this bus — everyone on that bus gets a notification. The crew can also tap Running late 10/20/30 min in the staff app. Mark incidents resolved when sorted.
On each bus or vehicle page → Fuel & maintenance. Add fuel fills with the odometer reading to get km per litre and cost per km, and services/repairs with the workshop and next service. Tick Also add to Expenses to create the matching expense (Transport – Fuel / Maintenance).
Transport → Drivers → click a driver: licence number, type and expiry, badge, police verification, joining date, emergency contact and photo. Record leave there with who drives their bus meanwhile — the bus page shows “Substitute today”.
Yes. The dashboard shows a Transport documents card for anything expired or due within 30 days (bus and vehicle documents and driver licences), and reminders go to the bell at 30 days, 7 days and on expiry.
Transport → Routes → open a route → Edit order & times. Drag the stops (or use the arrows) into the order the bus reaches them, then type each pick-up and drop time — or use Fill times: first pick-up, last drop and minutes between stops (the evening drop runs in reverse). Routes, the bus page and the parent app follow this order.
Transport → Stops → Stops map. Press Place next to a stop and click where it is on the map; drag a pin to move it. Pins are coloured by route and show how many students board there.
Transport → Reports → Needs fixing lists everything missing or mismatched — students using transport with no bus, bus numbers not in the fleet, buses over capacity, student stops that aren't in the stop list, buses without a driver, mobile, tracking link, seats or document dates, and stops without a time or fare — each with a link to fix it.
How full each bus is (students against seats), transport fee due / collected / balance per bus (the same split as Finance → Transport Fees), the busiest stops and stops with no students, and students using transport by class. Export can download each of these.
The seats recorded for that bus (Edit bus → Vehicle → Seats) are already taken by other students this year. You can still save it if you need to.
Transport → Vehicles is for the school's own vehicles other than route buses — cars, vans, autos, tractors and others added with Add vehicle (buses are on Transport → Buses). Each one opens its own page with photos, specs, driver, document validity (fitness, road tax, permit, insurance, pollution) and servicing. Needs attention shows vehicles with a document expired or due within 30 days.
Transport → Attendance shows the month by school day; holidays and half days are marked from the school calendar.
Hostel → Rooms → Add rooms: choose the block (Boys or Girls), the floor, the room number — or a range like 201-210 — and how many beds that room has (each room can have its own number). Empty floors show “+ Add rooms on this floor”.
Hostel → Rooms → Blocks & floors: name each block, say whether it's for boys or girls, and how many floors it has. Rooms are then shown block by block, floor by floor.
Open the room on Hostel → Rooms and press Put a student in this bed — search by name, admission no. or class. Only boys can go in the boys' block and girls in the girls' block. You can also pick a room on Hostel → Residents. A bed can hold only one student.
Yes — Residents and Rooms both have an Everyone / Boys / Girls switch.
Hostel → Rooms → Auto-fill beds: pick the block (and floors) and whether to keep the same class & section together. Check the preview — student photo → room and bed — then save. Only students without a room are placed, boys only in the boys' block and girls in the girls'; students with no gender recorded are listed so you can fix them. In a room's panel you can also Move a student, Swap two students or Remove one; every change is kept in the room history.
Hostel → Residents → open a student → Belongings & keys: items (bed, mattress, locker…) with condition and dates, and keys with their number. Mark them returned when the student leaves; keys still out show on the room and in Needs fixing.
Hostel → Wardens: assign staff to a whole block or to floors. They open My hostel in the staff app and mark Present / Absent / Leave / Late for morning, night study or night check-in for their own boarders; the marks appear on Hostel → Attendance.
Yes, in the student app: when their child is marked absent at night check-in, leaves on or returns from a leave-out, has a visitor, or when you tick Notify parent in the Sick Bay.
A third roll call on Hostel → Attendance (and in the staff app) for evening study hours, next to Morning roll call and Night check-in, with its own register.
Hostel → Care & upkeep → Sick Bay → Log: student, symptoms, temperature, who saw them, medicines given and the action (rest, sick bay, doctor, hospital, sent home). Add follow-ups as they recover; tick Notify parent to alert the parent in the app.
Hostel → Care & upkeep → Maintenance → New request: block, floor, room or common area, category, priority and photos. Move it to In progress and Done as it's fixed; the page shows open and urgent requests and average days to fix.
Hostel → Care & upkeep → Inspections: open a room, tick the checklist (bed made, floor clean, bathroom clean…) — one point per item. Rooms are coloured by their last score and flagged when not inspected this week; the month view shows averages per floor. Editing the checklist doesn't change past scores.
Hostel → Needs fixing lists boarders without a room or gender, boarders in the wrong block, rooms over capacity or without beds, rooms outside the hostel's blocks, boarders with no hostel fee line, overdue leave-outs, and keys not returned by students who left — each with a link to fix it.
Hostel → Attendance → roll call for today. Students on leave-out are marked separately; the register shows the month.
Hostel → Visitors → check in, then check out when they leave. A visit can be deleted only on the same day.
Hostel → Fees shows each boarder's hostel dues and payments, from the same totals as Finance → Fees.
Add dishes first (Mess → Dishes & Recipes), then Mess → Menu: pick dishes for breakfast, lunch, evening snacks and dinner for each day.
Mess → Meal Headcount: boarders expected for breakfast, lunch, snacks and dinner today, split veg / non-veg / egg / Jain. It uses the hostel morning roll call (and the night check-in for dinner) and leaves out anyone absent, on leave or on a leave-out. Tap “away” to see who.
Mess → Expenses → Add expense: what for (groceries, vegetables, milk, gas, kitchen staff…), item, quantity and unit, amount, vendor, bill no. and how it was paid. The page shows the month's spend by type, the change from last month and the cost per boarder per day. These are the same records as Finance → Expenses under category Mess, so finance sees them too.
Mess → Meal Headcount → Diets & allergies: pick each boarder's diet and type allergies (e.g. peanuts, milk) and kitchen notes. Students with an allergy or special diet are listed under the headcount every day.
Mess → Attendance tracks each meal; Mess → Billing shows charges, adjustments and payment status for boarders.
Mess → Feedback lists feedback from students and staff.
HR → All Staff → Add Academic Staff (teachers, coaches) or Add Staff (office, executive, support). Staff are grouped as Academic, Administrative, Executive and Support from their designation and department. Staff get an EMP number as their login ID; office admins keep their name-based IDs.
HR → Leaves: open the request and Approve or Reject. Pending requests also show in Notifications.
HR → Attendance: mark the day; the monthly view shows totals per staff member.
HR → HR Overview: today's attendance, birthdays and work anniversaries for the next 30 days, new joiners, frequent late-comers and records missing a mobile number or joining date.
Payroll: pick the month, set each person's salary and bank details once, adjust loss-of-pay days if needed, then Record payment. The person gets the payslip in their app, and you can print it from here. Undo takes a payment back.
Leaves → Balances & policy shows each person's remaining days per leave type for the academic year. Use Leave policy to change the yearly days, carry-forward and which types are on, and the pencil on a row to give one person their own allowance.
HR → Documents shows who is missing a required document and which ones are expiring. Open a person to upload, view or delete files (JPG, PNG or PDF up to 3 MB) and set an expiry date.
Their staff record needs their classes (and class-teacher class) filled in — the app and messages use it.
Inventory → Stock: add the item (unit, location, reorder level), then record stock in / out. The quantity is worked out from these movements.
When an item's quantity falls to this level it shows in Notifications as low stock.
Create a PO (Draft) → mark Ordered → mark Received when goods arrive; receiving adds the items to stock.
Things the school owns and keeps (furniture, computers…). Record where each is and whether it's in use, in store, under repair or disposed.
Inventory → Store Requests: staff raise a request from the staff app (Menu → Store requests) or you raise one here. Approve it, then Issue — issuing takes the items out of stock against the request number. A partly issued request can be finished later or closed.
Give the item a selling price on Inventory → Stock, then open Inventory → Store Counter: pick the student, tap the items and save the bill. The items come out of stock, you can print the bill, and anything not paid stays as a due you can collect later. Store bills are separate from school fees.
Inventory → Vendors: phone, GSTIN, address, what they supply, payment terms and bank/UPI, with each vendor's orders, total ordered and the last rate for every item. A vendor with orders is made inactive instead of deleted.
Yes. When you receive it, enter the vendor's bill no., date and amount: the items go into stock and the bill appears in Finance → Expenses as a Pending expense (category Supplies) for accounts to approve and pay. The order shows its payment status.
On Inventory → Stock, “Reorder low items” lists everything at or below its reorder level with a suggested quantity and the vendor who last supplied it. Untick what you don't need and it makes one draft purchase order per vendor.
Library → Book Stock: find the copy and Issue it to a student or staff member. It shows on Library → Issued until returned.
Fine = days late × fine per day, set in the library settings (along with the loan days). Mark the fine paid when collected.
Issued Books → ⋯ → Renew extends a loan by one loan period from today or its due date, whichever is later, up to the renewals allowed in Rules (2 by default). To let off a late fine, tick Waive when taking the book back, or use ⋯ → Waive fine on a returned loan — give the amount and a reason. Unpaid fines and reports count only what is still owed.
Book Stock → Print labels prints barcode stickers (the books in the current list, or an accession range), and Issued Books → Library cards prints cards with each student's or staff member's photo and barcode. Then open Issued Books → Scan desk: scan a card to pick the borrower, then scan books to issue them; scan a book that's out to take it back. Any USB barcode scanner works, and the camera on devices that support it.
Students see their books, due dates, fines and history in the student app (Profile → Library) and can search the catalogue. On Issued Books, Send reminders pushes a reminder to every student with a book due today, due tomorrow or late (with the fine so far) — each book is reminded once a day.
No. The TC form shows any books not returned and unpaid library fines, and the TC can't be issued until they're cleared on Issued Books. Tick “Issue the TC anyway” and give a reason to override — the reason and who allowed it are saved with the certificate.
Library → Clean-up lists fixes for the old import — publisher words glued to authors (“usePatterson” → “Patterson”), title text in the publisher, one spelling per title, and categories from clear signs. Sure fixes come ticked; check the rest, edit any value, then Apply selected. The old values are saved first, so Undo last clean-up puts them back.
Books with no category, author or publisher, broken publisher text, or one title spelt different ways. Each link opens those books on Book Stock — edit a title once to fix every copy.
Whoever you choose: everyone, parents / students, one class, teachers or staff. It shows in their app's notice board.
Yes — set a start date to schedule it and a “show until” date. Scheduled and expired announcements are hidden in the apps.
No. This page is read-only — you can read every teacher ↔ student / parent conversation, search it and export a transcript, but only teachers and parents can reply in their apps.
From the teacher app and the student / parent app. A chat appears as soon as the first message is sent.
In-app (shows in the student / staff app, free), SMS (once an SMS provider is connected), WhatsApp (when the school's WhatsApp number is set up) and WhatsApp link (opens WhatsApp for one person — you press send).
SMS isn't connected to a provider yet, so the SMS option is switched off. The templates are ready — you can open one and prepare the message — and sending turns on once a provider is set up.
Ready-made messages for parents (fee reminder, absent today, holiday, parent-teacher meeting and more). Open the SMS templates tab, press Use template and fill in the blanks. {student}, {class} and {school} are filled in for each family.
Yes, under Communication → Parent Chats (read-only). Teachers and parents reply in their apps.
Settings → General. They are shown to staff on this Help page under “Need more help?”.
Settings → Academic years: add the year and make it current, then use “Promote students” on the same page to move students into it.
Settings → Fee configuration, per class and fee head for the academic year.
